Terms of Service

1. Who we are

ICM is operated by Career Matrix ("Career Matrix", "we", "us"). The public website and application are https://career-matrix.com. Production hosting is Google Cloud, us-central1 (Iowa, United States).

2. Eligibility and accounts

• You must be at least 18 years old. We do not knowingly offer the service to children.
• You must provide accurate account information and keep your password confidential.
• Passwords must be at least 10 characters and must not be a common or sequential password.
• Email verification is required for password sign-up before the workspace is fully available.
• Google Sign-In creates a member account for the verified Google email. College and staff accounts are created through the college sign-up or an invite, not through Google.
• One person may not create accounts to evade a suspension, rate limit, or credit cap.
• You are responsible for activity on your account.

3. The service

ICM is an AI-assisted career workspace. Features that ship today include:

• Profile and résumé intake, including file upload and parse.
• Job discovery and job-fit evaluation, including ATS-oriented résumé and cover-letter drafts.
• Learning Studio: prep chat, Live Tutor, interview practice, and group discussion.
• Skill Lab and generated learning decks.
• Office: a simulated hiring and project workspace.
• Optional voice sessions for interviews and tutoring.
• College administration: departments, staff, student invites, visibility, and usage.
• Encrypted in-product messaging between permitted users.

We may add, change, or withdraw features. Marketing pages describe capabilities that actually ship. If a feature is in preview, we say so in the product.

4. Credits, plans, and payments

• The public plan includes 200 free credits each month and voice minutes as shown on the homepage. You can use ICM without a card.
• Credits are a usage meter for compute-heavy features. They are not cash, have no surrender value, and are not transferable between accounts.
• Unused free monthly credits reset at the start of the next calendar month. Purchased pack credits are granted for the current month and are listed on /workspace/billing.
• Paid packs are one-time payments, not subscriptions. We do not auto-renew. Price and tax are shown on Stripe Checkout before you pay. We set the price on the server. The browser cannot change it.
• Cards are collected and processed by Stripe. ICM never stores a card number, CVC, or full PAN. Stripe Checkout uses Strong Customer Authentication (3-D Secure) where a bank requires it.
• We collect a billing name and address at checkout so we can calculate GST, VAT, or sales tax and, for Indian export charges, meet Stripe/RBI description and address rules. A tax ID is optional and used only for invoicing.
• Receipts and invoices come from Stripe. You can open invoices and request a refund of unused purchased credits from Billing, or email support@career-matrix.com.
• Refunds: unused purchased credits can be refunded to the original payment method. Credits already consumed on AI or voice features are not refundable. Free monthly credits are not refundable.
• EU/EEA/UK consumers have a 14-day withdrawal right. Because credits are applied to your account as soon as payment succeeds, you agree that performance starts immediately and that withdrawal does not apply to credits already granted and used. Unused purchased credits can still be refunded as above. From 19 June 2026, use Billing or support to withdraw.
• US automatic-renewal laws do not apply because we do not sell auto-renewing subscriptions in this version.
• Chargebacks: if a payment is reversed, we remove the matching purchased credits (balance floors at 0).

5. AI-assisted features

Many features send the content you provide (and content we derive from it) to third-party model and voice providers so the feature can run. Details are in the AI Practices notice. In addition:

• Outputs are advisory. They are not legal, financial, immigration, medical, or hiring advice, and they are not an offer of employment or admission.
• You must review generated résumés, evaluations, scores, interview answers, and emails before you send them to an employer, college, or any third party.
• We do not use ICM scores, mock-interview results, or coach memory as a sole or automated decision about hiring, promotion, admission, or credit.
• Colleges and other institutions must not use ICM outputs as the sole basis for a placement, admission, or disciplinary decision.
• Model outputs can be wrong, biased, or incomplete. You remain responsible for what you publish or submit.
• Voice, tutor, and group-discussion characters are artificial. They are not human coaches, examiners, or recruiters.

6. Acceptable use

You may not:

• Use the service for any unlawful purpose, or to generate content that is illegal in your country or in India, the EU, or the United States.
• Upload malware, or attempt to probe, scrape, or bypass access controls, rate limits, or payment or credit meters.
• Access another person's account, messages, files, or college tenant without authorization.
• Submit personal data you are not allowed to share, including another person's résumé, government ID, or contact details, unless you have a lawful basis.
• Use the service to build a competing model by systematically extracting outputs, or to train a foundation model on ICM content.
• Impersonate Career Matrix, a college, an employer, or another user.
• Generate or distribute non-consensual intimate imagery, child sexual abuse material, or real-person deepfakes intended to deceive.
• Interfere with other users' sessions, or overload voice, scrape, or generation endpoints.

We may suspend or close an account, revoke credits, or refuse an invite when we reasonably believe these rules were broken, or when a provider, college, or law requires it.

7. Your content and our licence

You keep the rights you already have in résumés, profiles, messages, recordings, and other material you submit ("Your Content"). You grant Career Matrix a worldwide, non-exclusive licence to host, process, transmit, and display Your Content solely to operate, secure, and improve the service you asked for, including sending it to the processors named in the Privacy Policy.

You represent that you have the rights needed to grant that licence. You may export or erase your account as described in the Privacy Policy. Erasure does not unwind copies already sent to a third party you asked us to contact, or backups that rotate out on their ordinary schedule.

8. Colleges and institutions

• A college admin who registers an institution must have authority to bind that institution.
• Student and staff invites create or attach accounts for the invited email. The invitee must accept these Terms and the AI Practices notice.
• College visibility of a student profile is off by default. The student controls name, email, résumé, and location sharing under Workspace → Privacy.
• The institution is responsible for how it uses student data it can see. Career Matrix is not the institution's placement office or examiner.
• Public college-intake and internship forms are partnership or hiring inquiries, not accounts, until the person later signs up.

9. Third-party services

Job listings, Google Sign-In, model providers, voice providers, email, and hosting are operated by third parties. Their terms apply to their services. We do not control job-board accuracy or employer sites you open from Find Jobs.

10. Intellectual property

The ICM product, branding, software, prompts, generated interface chrome, and documentation are owned by Career Matrix or its licensors. These Terms do not transfer those rights. You may not copy the product, scrape its prompts, or remove notices.

11. Disclaimers

The service is provided "as is" and "as available". To the fullest extent permitted by law, we disclaim implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that outputs will get you a job, that listings are current, or that the service will be uninterrupted.

Nothing in these Terms limits rights that cannot be waived, including mandatory consumer rights in the EU/EEA/UK and non-waivable rights under Indian or US law.

12. Liability

To the fullest extent permitted by law, Career Matrix is not liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, lost data, or lost opportunity, arising from the service or from reliance on AI outputs.

Our aggregate liability for claims relating to the service in any twelve-month period is limited to the greater of (a) the amounts you paid us for the service in that period, or (b) USD 100. This cap does not apply to liability that cannot be limited, including death or personal injury caused by negligence, fraud, or wilful misconduct.

13. Indemnity

You will defend and indemnify Career Matrix against claims arising from Your Content, your misuse of the service, or your violation of these Terms or applicable law, except to the extent a claim is caused by our wilful misconduct.

14. Suspension and termination

You may stop using the service and request erasure at any time. We may suspend or terminate access if you breach these Terms, if we must do so to comply with law or a provider, or if we discontinue the service. We will try to give notice when it is reasonable to do so. Sections that by their nature should survive (including 5, 7, 10–13, 15, and 16) survive termination.

15. Governing law and disputes

These Terms are governed by the laws of India, without regard to conflict-of-law rules. Disputes may be brought in a court of competent jurisdiction in India, except that:

• If you are a consumer habitually resident in the European Union, EEA, or United Kingdom, you may bring proceedings in your country of residence, and you keep mandatory local consumer protections.
• If a mandatory US state law gives you a local forum or non-waivable right, that law controls for that right.

Before filing a claim, email support@career-matrix.com and allow 30 days to try to resolve it.

16. Regional terms

India

You also agree to follow the Information Technology Act, 2000, the IT (Intermediary Guidelines and Digital Media Ethics Code) Rules, 2021 as amended in 2026, and the Digital Personal Data Protection Act, 2023. Grievances about the computer resource are handled by the Grievance Officer at support@career-matrix.com. We acknowledge those complaints within 24 hours and aim to resolve them within 7 days. Privacy rights are described in the Privacy Policy.

European Union, EEA, and United Kingdom

If you are a consumer, nothing in these Terms reduces your statutory rights. AI features are disclosed under the EU AI Act transparency rules (see AI Practices). You may withdraw consent for optional AI processing without affecting the lawfulness of processing before withdrawal, though some features will then be unavailable.

United States

THE SERVICE IS PROVIDED WITHOUT WARRANTIES TO THE MAXIMUM EXTENT PERMITTED BY STATE LAW. SOME STATES DO NOT ALLOW CERTAIN LIMITATIONS; IN THOSE STATES OUR LIABILITY IS LIMITED TO THE MAXIMUM EXTENT PERMITTED. California residents: see the Privacy Policy for CCPA/CPRA disclosures, including that we do not sell or share personal information as those terms are defined in the CCPA.

17. Changes

We may update these Terms. The effective date and version 2026-08-18 appear at the top of this page. If a change is material, we will post the new Terms here and, where required, ask for fresh consent. The current Terms are always at https://career-matrix.com/legal/terms.
